How do I send an event update to everyone who has RSVP'd?

Last updated July 29, 2026

Use AddEvent's manual email update feature - it sends a one-off email to all registered attendees from your dashboard in a few clicks.

How to send a manual update

  1. Open your RSVP event in the AddEvent dashboard
  2. Go to the Attendees section
  3. Click Send Email Update
  4. Write your subject line and message
  5. Send - the email goes to all attendees who have RSVP'd Yes (and optionally Maybe)
This is useful for:
  • Announcing a venue change
  • Adding or updating a Zoom/Teams link
  • Sharing new agenda details
  • Alerting attendees to a rescheduled date
  • Sending a post-event thank-you or recording link

Customizing who receives the update

You can choose to send to all attendees, or filter by response (Yes only, or Yes + Maybe). Attendees who declined are excluded by default.

Using merge tags for personalization

The manual update email supports merge tags, so you can personalize the message with each attendee's name, the event title, date, and other details. The email uses the same design template as your confirmation email.

Automated reminders vs. manual updates

Manual updates are for one-off announcements. If you want to send scheduled reminders before the event (1 week before, 1 day before, etc.), those are configured in your Notification Flow and send automatically without you needing to trigger them each time.
