How do RSVP confirmation and reminder emails work?

When someone RSVPs, AddEvent automatically sends a confirmation email immediately. Reminder emails and follow-ups are controlled by Notification Flows - reusable email sequences you configure once and apply across multiple events.

The confirmation email

Sent instantly when an attendee submits their RSVP. It includes:
  • Event title, date, time, and location
  • The attendee's RSVP response (Yes / Maybe / No)
  • An Add to Calendar button - so attendees can save the event to Google, Apple, Outlook, or Yahoo directly from the email
  • Any custom confirmation message you've written

Reminder emails via Notification Flows

Notification Flows let you set up a sequence of timed emails around each event:
  • Before the event - send 1 week before, 1 day before, 1 hour before, or any interval you define
  • After the event - send a follow-up, survey link, or thank-you message
You build a Notification Flow once and reuse it across as many events as you want. If you run weekly webinars, create one flow and apply it to every session - no rebuilding each time.

What you can customize in every email

  • Subject line and body copy with full text editing
  • Design and branding - colors, logo, layout via a no-code email builder
  • Sender name and reply-to address
  • Sender email address (your own domain, on paid plans)
  • Merge tags - automatically insert attendee name, event title, date, and other dynamic values

Sending a manual email update

At any time, you can send a one-off email update to all attendees - useful for announcing venue changes, adding a Zoom link, or sharing last-minute information. This is separate from the automated Notification Flow sequence.

Preview and test before sending

You can preview any email and send yourself a test send before it goes live - so you can check layout, links, and content before attendees see it.
