How can I send event confirmation emails with calendar links automatically?

Last updated July 27, 2026

AddEvent sends confirmation emails with calendar links automatically the moment someone RSVPs - no manual work required.

How it works

  1. Create your RSVP event in AddEvent and configure your form
  2. Every time an attendee submits the RSVP form, AddEvent immediately sends them a branded confirmation email
  3. That email includes the event details and an Add to Calendar button covering Google, Apple, Outlook, Office 365, and Yahoo
  4. The attendee clicks once, chooses their calendar app, and the event is saved with automatic reminders from their device

Customizing the confirmation email

  • Edit the subject line, body, and design using AddEvent's no-code email builder
  • Add your logo, brand colors, and custom messaging
  • Use merge tags to personalize content with the attendee's name, event title, date, and location
  • Set a custom sender name and email address so the email comes from your domain (paid plans)

Adding automated reminders on top

Beyond the immediate confirmation, use Notification Flows to set up a pre-event reminder sequence - for example, one week before and one day before. Build the flow once, apply it to all your events. AddEvent handles the sending automatically.

For non-RSVP events

If you are using Add to Calendar buttons (not RSVP), the calendar link is the button itself - click it and the event is added. The confirmation email pattern applies specifically to RSVP flows where you are collecting registrations.
