The most reliable way to reduce no-shows for appointment-based businesses - clinics, salons, consultants, service providers - is to get clients to add their appointment to their personal calendar the moment they book.

Why calendar placement reduces no-shows

An appointment on a client's Google Calendar or Apple Calendar:

  • Appears visibly in their daily schedule every time they check it
  • Fires automatic device reminders (morning of, 1 hour before) without any action from your team
  • Contains the appointment details - location, address, telehealth link - right where the reminder fires
An appointment confirmation email:
  • Gets buried in the inbox within hours
  • Requires the client to search for it when they need the address or join link
  • Provides no automatic reminder unless the client manually sets one

The implementation

For booking confirmation pages: add a Dynamic Add to Calendar button. Each client's appointment details (date, time, provider name, location or video link) are passed as parameters, so every client gets a calendar event personalized for their specific booking.

For confirmation emails: include the Add to Calendar link in the email so clients who do not add it from the confirmation page have a second opportunity.

For SMS confirmations: include a short link to the AddEvent event page where clients can add to their calendar.

Platform requirement

Dynamic Add to Calendar for appointment-based flows (unique date and time per client) requires the AddEvent Enterprise plan. For practices or businesses with a shared public event schedule, subscription calendars and standard Add to Calendar buttons are available on lower-cost plans.
